Schedule a video meeting in Calendar

Create a new event with a video meeting

When you add a guest to an event, a video meeting link and dial-in number are added automatically.

  • Go to Google Calendar and create an event.

  • On the Guests tab, click Add guests and enter the email addresses.

  • Click Save.

  • Click Send to send the invites.

Guests receive an email with the event information and a link to the video meeting. Guests can forward the meeting link to other people. If someone tries to join who was not invited to the Calendar event, a meeting participant from your organization must accept their request.

Tips for a Successful Online Meeting or Class

  • Sit in a well-lit area, but not with a bright light or window behind you.

  • If possible, use a headset microphone - if not available, the laptop or Chromebook mic is OK to use.

  • Close tabs you don’t need for the meeting/class to improve performance during the call.

  • Test out the setup before starting the meeting or class (you can join to see how it looks/sounds before adding anyone else).

  • Set expectations for students.

    • Appropriately dressed (even if not using video - just in case!)

    • Sit somewhere with limited distractions and good lighting

    • Eating/Drinking OK or not

    • Keep microphone muted unless speaking

    • Use chat to “raise their hand” to speak - have them type “HAND” or some other agreed-upon word to get the teacher’s attention

    • Use chat appropriately
